Onboarding steps

An induction consists of individual steps: sign the contract, set up accounts, hand over the laptop, plan the introduction. SCS creates them all at once when a checklist is started, each with its own due date. What was missing afterwards was the nudge: nothing happens by itself on a due date, and a step nobody looks at simply stays open.

From now on every step announces itself. Once it is due and still open, it appears as a process in the responsible person's worklist - in the bell at the top right, next to everything else that is waiting for them.

What can I do here?

  • Find out in time that a step is due - without opening the checklist every day.
  • Open the checklist directly - the entry links to the induction the step belongs to.
  • Complete the step - the notice disappears by itself afterwards.
  • Be reminded by email - in addition to the worklist, unless you unsubscribed.

Step by step

  1. Open the bell at the top right. A due step is listed there with its name, the new joiner's name and the due date.
  2. Click Complete step. SCS opens the checklist of that induction.
  3. Tick the step off - or skip it if it does not apply in this case.
  4. The entry disappears from the worklist by itself afterwards. You do not have to close it separately.

Fields explained

Field Meaning
Due on Decides when the notice appears. Without a due date no process is raised.
Responsibility (template) Decides who gets the notice: the supervisor, the new joiner themselves, or HR.
Status of the step The only place where "done" is recorded. The worklist entry carries no state of its own.
Status of the checklist A cancelled or completed induction also ends its open steps.

Who gets the notice

That is decided by the responsibility on the step's template:

  • Supervisor - the new joiner's line manager.
  • Employee - the new joiner themselves. They complete their steps in the employee portal.
  • HR - the HR responsibility for that person.
  • IT and Custom - SCS knows nobody for these today. The process is recorded as a defect and deliberately goes to nobody rather than to everybody. In those cases put a named person on the step.

When the notice disappears again

  • The step is completed.
  • The step was skipped - which also closes it.
  • The induction is completed or cancelled.
  • The person has left the company again.

All four work by themselves and regardless of who made the change. You never have to close the notice by hand.

The entry carries no state of its own

The worklist entry points at the step and stores nothing about it. "Done" is always read off the checklist itself. That is why the entry can never claim something different from the checklist - not even when somebody ticks the step off somewhere else.

Escalation after seven days

If the process sits for seven days without being completed, it additionally becomes visible one level up. It does not move away: you stay responsible and continue to see it.

Frequently asked questions

I get no notice although a step is open.
Check three things: does the step have a due date, and has it arrived? Is the checklist still active? And does the template say who is responsible? If it says IT or Custom without a named person, SCS cannot name anybody.

I got the notice but cannot tick the step off.
Ticking a step off in the admin area requires the manage HR permission. Managers without it see the step but have it completed through HR. New joiners tick their own steps off in the employee portal.

Do I get the same notice again every day?
No. Exactly one process is raised per step. The recurring reconciliation run creates no second one while the first is open.

Why do I get several entries for one induction?
Because the steps belong to different people. A single entry per induction would sit with one of them and not with the others.

Can I switch the email off?
Yes, per process kind in the notification settings. The worklist entry stays in every case - it cannot be unsubscribed from.
