Process notifications

On this page you decide which process kinds you want to be emailed about. The setting applies to you personally - nobody else is affected by it, and you can neither see nor change anybody else's.

First things first: your worklist stays

Only the email is switched off. Your worklist entry (the bell at the top right) always remains and cannot be unsubscribed from.

That is deliberate: anyone who could switch off their own worklist could blind themselves - and an approval would then sit for weeks without anybody noticing. The email is an additional reminder; the worklist is where the process actually sits.

One email a day, not one per process

Since 28/08/2026, process emails arrive bundled: you get a single summary per day listing every process that has arrived since the last summary - whether that is one or twenty. There is no threshold and no mixed form.

The background: an approver with twenty open requests used to get twenty emails in one morning. An avalanche in the inbox does not get read, it gets clicked away - and then the reminder is worthless.

What that costs, stated plainly: an urgent process waits for the next summary in this form. If you need a quick response, email is not the right route - the process appears on the responsible person's worklist immediately, and the bell shows it with no delay.

What the bundling does not touch: the worklist. Every process still gets its own entry there, and the number on the bell still counts them one by one. Only the sending is bundled.

Your switch setting below works unchanged: a process kind you have switched off does not appear in the daily summary at all.

What you see here

There is one row per process kind, with a switch:

  • The name of the process kind - for example "Absence request filed"
  • The default - whether this kind sends an email by default or not
  • The switch - your own decision

Some rows have a greyed-out switch. That means the email for this process kind cannot be switched off (because it is compulsory), or there is no email for it at all. Such rows are shown on purpose - otherwise you could not tell "there is no such process kind" from "you are not allowed to change this one".

The two buttons at the top switch between all process kinds and changeable ones only. Your choice is part of the page address, so you can bookmark it or pass it on.

What happens when you switch it off

From the moment you flip the switch you receive no more emails about that process kind. Emails already sent cannot be recalled.

The process itself still appears

  • in your worklist (the bell), and
  • as a task, if the process kind creates one.

What happens when you switch it back on

You receive emails again for new processes of that kind. Nothing is caught up for processes raised while it was off - but those are still in your worklist.

When a process kind is new

New process kinds appear here by themselves as soon as they are registered in the system. As long as no readable name has been recorded for one, its technical name is shown - unlovely but honest, and it disappears once the name is added.
