Expiring contracts

A fixed-term contract has an end date, and at some point somebody has to decide whether it is renewed, turned into a permanent one, or allowed to run out. SCS reminds you of that decision by itself: as soon as a contract enters its lead window, a process appears in your worklist - in the bell at the top right, next to everything else that is waiting for you.

You do not have to switch anything on or maintain anything extra. It is enough that the contract carries an end date and that the person has a supervisor on record.

What can I do here?

  • Find out in time that a contract is running out - without keeping a list of your own or setting a calendar reminder.
  • Open the contract directly - the entry links to the employee record, section Contracts.
  • Settle the decision - renew, make permanent, or let it run out. The notice disappears by itself afterwards.
  • Be reminded by email - in addition to the worklist, unless you have unsubscribed.

Step by step

  1. Open the bell at the top right. An expiring contract is listed there with the person's name and the end date.
  2. Click Review contract. SCS opens the employee record in the Contracts section with that contract highlighted.
  3. Decide:
    • Renew - set a new, later end date.
    • Make permanent - clear the end date. The contract then has no fixed term.
    • Let it run out - end the contract on the end date, or create the successor contract.
  4. The entry then leaves your worklist by itself. There is nothing to tick off.

Fields explained

Field Meaning
End date (fixed term) The day the contract runs out. If the field is empty the contract is open-ended and raises no notice.
Notice period (days) Decides how early the notice appears: SCS raises the contract exactly one notice period before the end date, but never less than 30 days ahead.
Contract is active Only the contract in force raises a notice. A superseded or withdrawn contract is skipped.
Supervisor The recipient of the notice. If none is on record the process is recorded as a defect - it is deliberately not sent to everyone with HR permissions.

Values and states

When the notice appears

The lead time is not one fixed number for everybody. It is the notice period of that particular contract, and never less than 30 days. A contract with a three-month notice period announces itself three months ahead; a contract with no notice period on record, 30 days ahead. That way you still have the full notice period left when the notice reaches you.

When the notice disappears again

  • You moved the end date further out, beyond the lead window.
  • You cleared the end date - the contract has no fixed term any more.
  • The contract is no longer active because a successor contract replaced it.
  • The person has left the company (status Terminated).

All four work on their own, no matter who made the change. You never have to close the notice by hand.

When the notice deliberately stays

If the end date has already passed while the contract is still active, the entry stays on the list, saying that the deadline has gone by. That is deliberate: this is the exact moment a reminder turned into a problem, and a notice that vanished then would leave the list looking clean although nothing had been decided.

Escalation after seven days

If the process sits undecided for seven days it becomes additionally visible one level up. It does not move away: you stay responsible and keep seeing it.

Frequently asked questions

I get no notice although a contract is running out.
Check three things: does the contract carry an end date? Is the contract active? Does the person have a supervisor in their employee record? Without the last one SCS cannot name a recipient and records a defect instead - the notice deliberately goes to nobody rather than to everybody.

Will I get the same notice again every day?
No. Exactly one process is raised per contract. The recurring reconciliation run does not add a second one while the first is open.

Can I switch the email off?
Yes, per process kind in the notification settings. The worklist entry always stays - it cannot be unsubscribed from.

What about the probation period?
The probation period is a separate deadline and is not covered by this notice.
