Whereabouts

On this page you request a place of stay that differs from the registered address stored in the system — for example when you temporarily work from a different location (workation, longer off-site assignment) or have permanently relocated. The place of stay cannot be edited directly: every change runs as a request with a reason that your manager reviews and approves or rejects.

What can I do here?

There are two views:

  • My Whereabouts (self-service) — submit a new request and see the status of your own requests (pending, approved, rejected) including period and reason.
  • Whereabouts Requests (for managers and HR) — review your employees' requests and approve or reject them.

A place of stay can be temporary (with a start and end date) or permanent. While a request is pending you cannot submit a second one.

Your current place of stay at a glance

At the very top of the My Whereabouts page, a "Current place of residence" card shows the location that applies to you right now, together with its source:

  • Registered address from your contract — no approved request applies; your address from the master data is decisive.
  • Approved request (temporary until …) — a temporary whereabouts is effective today.
  • Approved request (permanent) — a permanent whereabouts is effective.

This location also drives your public holidays, calendar, and the calculation of your absence days (see "Good to know").

Step by step

Requesting a place of stay

  1. Open My Area → My Whereabouts.
  2. Click Request whereabouts in the top right. A panel opens on the right edge. The form is already pre-filled with your current place of stay — by default the address from your contract. You only adjust what changes.
  3. Review or complete the address: street and number, postal code, city, optionally state/region, and the country (selectable from the country list).
  4. Choose the period:
    • Temporary (default): enter From and Until. The end date must not be before the start date.
    • Permanent: turn on Permanent. There is no end date; optionally you can enter a "Valid from" date — if left empty, the whereabouts applies immediately.
  5. Enter a reason (mandatory) — it helps your manager decide.
  6. Click Submit request. The request then appears in your list with status Pending, and your manager is notified.

Approving or rejecting a request

  1. Open My Area → Whereabouts Requests.
  2. The My reviews tab shows requests from the employees you are responsible for. With HR permission, the All requests tab shows the tenant-wide list.
  3. Review the address, period, and reason.
  4. Click Approve or Reject. When rejecting, provide a reason.
  5. The employee is informed of the decision by notification and email.

Note: The four-eyes principle applies — you cannot decide your own request. Another authorized person does that.

Seeing the effective place of stay

If an employee's current place of stay differs from the registered address, a "Differs from registered address" note appears in the employee profile under the personal details, showing the differing address and its validity period.

Good to know

  • Which place of stay applies right now? The system determines the effective location for the relevant date in this order: an active temporary approved whereabouts takes precedence over a permanent one, and both take precedence over the registered address from the master data.
  • Public holidays and the calendar follow the place of stay: For days on which an approved whereabouts is effective, the public holidays of that country (and, if provided, that state/region) apply — day by day. For a temporary whereabouts this only takes effect within its period; outside it, your usual holidays apply again. This affects everywhere holidays matter: the year and calendar views and the calculation of your absence days (leave does not count as a vacation day on a public holiday at your place of stay). The order of precedence is: place of stay → assigned holiday calendar → country from the master data. If no holidays are stored for a place-of-stay country, your existing holiday rules remain in effect.
  • Data protection: The address and location data captured in the request is stored encrypted.
  • Requests only, no direct edit: The registered address (master data) stays unchanged — the whereabouts sits on top of it and does not modify the master data.
