Remote work

On this page you record how many remote-work days have been agreed with a person, on which days they actually worked from home, and you produce the yearly statement for the tax office from it.

The three parts build on each other: without recorded days there is no count, and without a count there is no report.

What can I do here?

  • Record for a person how many remote days per week, per month or per year are agreed, valid from a date
  • Record for each working day where the work happened: home, office or another location
  • See for a month how many days add up and how that compares to the agreement
  • Look up who recorded or later changed which day, and when
  • View the yearly statement for everyone and export it as a table

A day has exactly one work location. Half days are deliberately not modelled. If someone worked in the office in the morning and at home in the afternoon, pick the predominant location and record the reasoning in the Reason field.

Step by step

  1. Pick a person: Select the employee at the top left, then the year and month. All three settings live in the address bar, so you can pass the view on as a link and the recipient sees exactly the same thing.
  2. Record the agreement: Switch to the Agreement tab. Enter the agreed number of days, choose the period (per week, per month, per year) and the date the agreement takes effect. Leave Valid until empty while the agreement is open ended.
  3. Record days: On the Days tab, enter the date and work location under Record a day. Saving a day that already exists overwrites it - the previous value stays in the change history.
  4. Read the count: Four figures sit above the list: home, office, other location and Per agreement. The last one projects the stored agreement onto the selected month and puts it next to the counted days. A deviation is marked with a symbol and a word: "▲ above the agreement" or "▼ below the agreement".
  5. Produce the report: The Report tab shows the yearly statement. Export as CSV gives you the same figures as a table a tax advisor can check.

Fields explained

Field Meaning
Days (agreement) The agreed number of remote days within one period. Half days are allowed, e.g. 0.5 days per week.
Period What the number refers to: per week, per month or per year.
Valid from / Valid until The period the agreement covers. A changed agreement does not rewrite the past: an evaluation of a previous year keeps using the agreement that was in force back then.
Work location Home, office or other location. "Other location" covers customer site, business travel and co-working, so no day is silently counted as remote work just because nobody recorded anything else.
Reason Free text carried into the change history. Useful for late entries and corrections.
Per agreement The agreement projected onto the selected period. Not on record means no agreement is stored for this person - which is a different statement from an agreement of zero days.
Country (report) The person's country from their employee record. It appears in every row so the right national rule can be applied.

Who may do what?

  • Own figures are visible to everyone under "My Area" in the admin interface, without a special permission - and, once reachable, in the employee portal (in preparation).
  • Other people's figures - count, change history and report - require the read HR permission (hr:read).
  • Recording agreements and days requires the manage HR permission (hr:manage).

The check happens on the server: a call without the required permission is refused and carries no figures with it - not merely a hidden button.

Traceability

The report is evidence towards an authority. The system therefore keeps every change to a day: creating it, every change of work location and removing it - each with time, author, old and new value and the reason entered. That record survives even when the day itself is removed again. You find it on the Days tab under Change history.

Saving the same value again creates no new entry - the record is meant to show real changes, not every click.

What this report does not do

The count is country-neutral: it counts days, it does not compute tax consequences. The remote-work allowance is German tax law, and the company also employs people in other countries. The report therefore states the number of days and the person's country - evaluating those days remains the tax advisor's job.
