Employee Portal: Absences

This page in the employee portal shows your absence balance, lets you submit an absence request, and keeps you up to date on the status of your past requests.

In preparation. This page becomes reachable once the employee portal is switched on (see Employee Portal: Home). Until then, the same function is available under My Absences in the admin interface.

What can I do here?

  • View your absence balance per absence type: total, taken and remaining
  • Submit a new absence request, optionally for a half day
  • Review your past requests with status, date range and number of days
  • Edit a still-pending request of your own (change the date range) or withdraw it (cancel)
  • Read the rejection reason for a rejected request

Step by step

  1. Submit an absence request

    1. Click Request Absence.
    2. Choose the type, the start date and the end date. If needed, check Half Day (only possible when the start and end date are the same).
    3. Optionally enter a reason and click Submit Request.
  2. Edit a pending request

    1. Click Edit on the request's row.
    2. Change the start or end date and click Save.
  3. Withdraw a pending request

    1. Click Cancel on the request's row.
    2. Confirm in the dialog that names the affected date range. The cancellation goes to HR and retracts the entry in the shared calendar.

Fields explained

Field Meaning Notes/Impact
Type The absence type (e.g. vacation, sick leave) The list shows every active type in your organization
Start Date / End Date The requested date range For "Half Day" both must be the same day
Reason Free text for the request Optional
Total / Used / Remaining Absence balance figures per type If no entitlement is recorded, a hint text appears instead

Request status

Status Meaning What you can do
Pending The request is waiting for a decision You can edit or cancel it
Approved Your manager or HR has approved it Only cancelling remains possible
Rejected The request was rejected The rejection reason is shown right on the request
Cancelled The request was withdrawn No further action possible

FAQ

Who decides on my request?
Your manager or HR, in a separate view. This page only shows you the current status.

Can I still change an already approved request?
No, only cancel it. To change it, submit a new request after cancelling.

Do weekends and holidays count?
No, they are automatically excluded when calculating the number of days requested.
