My Profile (Account)
On this page you manage your personal account settings: an overview of your account data, your password, your passkeys, and your regional preferences such as language, timezone, and date format. This page is about your admin account — not your HR personnel data (there is a separate self-service "My Profile" area under "My Area" for that).
New: Passkeys are now available to every employee (previously only platform accounts). A passkey is a secure, password-free sign-in method — for example a fingerprint, face recognition, or a hardware security key. You can sign in directly on the login page via the "Sign in with passkey" button, with no password at all. Your password stays valid — a passkey is an additional, more convenient option and can be removed again at any time.
What can I do here?
- View your account data (name, email, role, last login)
- Maintain your 3CX phone extension for click-to-call (if a staff record with telephony is linked to you)
- Change your password
- Add or remove passkeys for password-free sign-in (with your own device name)
- Generate recovery codes for emergencies and show them again at any time
- Set your language, timezone, date and time format, and week start, and check them in a live preview
Step by step
- Change your password: In the "Change password" section, enter your current password and your new password twice, then click "Change password". Password requirements are checked live as you type.
- Add a passkey: In the "Two-Factor Authentication" section, click "Add passkey", give the device a name (e.g. "MacBook Touch ID"), and follow your device's prompts (e.g. biometric confirmation). You can then sign in on the login page with "Sign in with passkey" — no password needed.
- Generate recovery codes: In the "Two-Factor Authentication" section, click "Generate new codes", enter your password to confirm, and store the codes shown afterwards somewhere safe. Existing codes become invalid.
- Show recovery codes again: Click "Show codes" and confirm your password. You will see every code that is still valid. A code you already used no longer appears, because it is spent.
- Adjust regional settings: Choose your language, timezone, date format, time format, and week start, check the live preview, then click "Save". "Language" is an ordinary picker: it holds exactly the fully translated languages, two of them today, and it is operated with the keyboard like any other picker. The timezone still opens as a list with a search box: just type "Berlin", "Europe" or the technical identifier "Europe/Berlin" instead of scrolling through some 400 time zones. The list is fully keyboard-operable as well (arrow keys, Enter, Escape).
Reading the last sign-in correctly
The Last successful sign-in field is more than a date: it is the only place where you can notice that somebody else signed in to your account. To do that job it has to be read correctly.
- Only a real sign-in counts - with a password, with a passkey, or through an invitation. Each of these paths records the time and the address.
- Continuing to work in an open session does not count. As long as you stay signed in, the console extends your session in the background without asking you to sign in again. The displayed time can therefore be days or weeks older than your running session - that is not a defect, it is precisely the statement: nobody has signed in to this account since then.
- The address below the time says where the sign-in came from. A sign-in from a region unknown to you is a clearer warning than the time alone.
What to do if the entry looks unfamiliar? Change your password immediately (section "Change password"), remove any passkey you cannot account for, and report the incident to your administrator. They can trace the event in the activity log.

FAQ
Why don't I see a section for the phone extension?
This section only appears if an active staff record with telephony is linked to your account.
How do I sign in with a passkey?
On the login page, click "Sign in with passkey". If you entered your email first, only the passkeys for that account are offered; otherwise your device lists all matching passkeys to choose from. After you confirm (e.g. with a fingerprint), you are signed in directly.
What do I do if I lose my passkey?
Simply sign in as usual with your email and password — the password always remains available as a sign-in method. Then remove the lost passkey in your profile and register a new one if needed. You can keep several passkeys in parallel (e.g. laptop and phone).
What happens when I generate new recovery codes?
All previous recovery codes are immediately invalidated. Store the new codes somewhere safe.
I did not write my recovery codes down. Are they lost?
No. Click "Show codes" and confirm your password, and every still-valid code is shown again. We store the codes encrypted so they can be made readable again. Anyone who does not know your password cannot reach them, and every retrieval is logged. Still keep the codes outside the system: if you cannot sign in any more, a display inside the system will not help you.
I added a passkey but every sign-in still sends me back to the setup page.
That was a bug and it is fixed. An enrolled passkey now counts as a completed two-factor setup: the notice disappears and the redirect stops.
Does this page also cover my HR personnel data like salary or vacation entitlement?
No. This page only manages your admin account (sign-in, password, security, display settings). HR-related self-service information is in the "My Profile" self-service area under "My Area".
Why is the "Save" button greyed out under regional settings?
The button only becomes active once you have changed at least one setting.
How do I find my time zone without scrolling the whole list?
Open the "Timezone" field and start typing. The list filters along immediately and matches the city name ("Berlin"), the region ("Europe") and the technical identifier ("Europe/Berlin") alike.
Why does "Language" only offer German and English?
The list offers what is actually translated. It used to hold some 40 languages whose texts existed only in small part: picking one of them produced a largely English interface rather than a translation. The list now shows only languages whose texts are fully maintained. As soon as another language is finished, it appears here by itself.
I had a different language set before. What happens to it?
Your interface then runs in the default language, German, and the "Language" field shows German as well. Nothing is lost and no error appears. You can switch to English at any time and confirm with "Save".
