Inbox and team status (supervisors)
If you lead employees, two extra cards appear on the dashboard of the employee portal: the inbox with everything waiting for your decision, and the team status with the attendance of your employees for a day you pick. Both cards are for supervisors only; anyone who leads nobody sees their dashboard unchanged.
In preparation. These two cards belong to the employee portal - the standalone application for staff - and only become reachable once the portal is switched on (see Employee Portal: Home). They do not exist in the admin interface: "My Area" carries no such cards. Until the portal goes live, you decide your employees' absence requests in the admin interface under Absences.
| Name | State |
|---|---|
| A. Example | ✓Clocked in |
| M. Sample | !Not clocked in |
| T. Example | •Out of office |
/What can I do here?
- See every open absence request of your employees at a glance
- Approve or reject a request directly from the inbox
- See, for any day, who is clocked in, clocked out, missing a clock-in or not in the office
- Filter the team status by a state and share the filtered view as a link
Step by step
Decide an open request
- Sign in to the employee portal (see Employee Portal: Sign In). You land on the dashboard.
- Find the request in the Inbox card. Each entry shows the name, absence type, period, number of days and - if given - the reason.
- Click Approve or Reject. The entry disappears from the list immediately, and on an approval the employee's entitlement is booked in the same step.
Look at the team status for another day
- Pick a date at the top right of the Team status card.
- The counts and the list of people then refer to that day.
Filter by a state
- Click one of the states (for example Missing clock-in).
- The list then only shows people in that state. Clicking again clears the filter.
- The day and the filter live in the address bar - the link shows a colleague exactly the same view, provided they hold the same permission.
Fields explained
| Field | Meaning | Notes/effect |
|---|---|---|
| Inbox: counter | How many processes are waiting for your decision | Means "this much is waiting for me", not "this much has happened" |
| You are deciding as deputy | You are recorded as this person's absence deputy, not as their manager | You may decide the request, but you do not see this person in the team status |
| Team status: date | The day the counts and the list refer to | Defaults to today |
| Team status: state | Attendance state of a person on that day | See the table below |
Values & states
States in the team status
| Label | Meaning | What happens then |
|---|---|---|
| Clocked in | The person clocked in on that day and has not clocked out yet | – |
| Clocked out | The person clocked in and out again on that day | – |
| Missing clock-in | There is no time entry for that day, and no absence is approved either | The state you usually want to ask about |
| Not in the office | An absence is approved for that day | The absence type is shown, never a reason or free text |
Who may see what
- Your team is the one recorded in the employee record. What counts is the Manager field of each person (HR → Employees). Anyone whose field does not point at you appears nowhere for you.
- The limit is enforced on the server, not hidden in the display. A call without leadership responsibility is refused and returns no personal data at all - not even whether a given person exists.
- Being an absence deputy is less than leading. If the employee record only lists you as the absence deputy, the affected requests appear in your inbox, marked "You are deciding as deputy". You do not see those people's team status: attendance times disclose more than a single leave approval.
- You do not decide on your own request. The four-eyes principle applies here exactly as it does in HR administration.
Frequently asked questions
An entry disappeared from my inbox without me doing anything. Is it lost?
No. The inbox is a worklist, not a history: an entry stays there as long as the process needs a decision and disappears once it has been decided - regardless of who decided it. If your deputy or HR handled the request, the matter is settled. The request itself, and who decided it, remain visible in the request list under Absences.
I lead employees but do not see the two cards.
First check that you are in the employee portal: "My Area" in the admin interface does not carry these cards. If you are in the portal and the cards are still missing, nobody's Manager field in the employee record points at you. Ask HR to record the assignment; the cards appear afterwards without any further step.
Is this the same as "My Area" in the admin interface?
No. "My Area" is the self-service section inside the admin interface and shows your own data - there is no inbox and no team status there. This page describes the employee portal, a standalone application with its own address, meant for staff without an administration login. It is still in preparation.
Why do I not see the team status even though requests are sitting in my inbox?
Then you are recorded as the absence deputy for those people, not as their manager. That is enough to decide an absence, but not to look at attendance times.
Can I see in the team status why somebody is not in the office?
You see the type of the absence, for example "Vacation". A reason or free text from the request is deliberately not shown there.
Are the cards usable on a phone?
Yes. Both cards work from 390 pixels wide without horizontal scrolling; the buttons wrap when needed.
