Email Templates

Email Templates let you design the automatic emails SELLERLOGIC Commerce Services sends on your behalf — for example order confirmations, shipping notifications, or welcome emails. You build each template block by block, keep a consistent look and feel (branding), and use the log to see which emails were actually sent.

What can I do here?

  • In the Templates tab, select an email template and edit it in the visual block editor (subject, content, images, buttons, product tables, conditions, and more)
  • Switch between visual editing and raw HTML, and view a rendered preview
  • Duplicate templates to use an existing one as a starting point for a new one
  • In the Log tab, see which emails were sent, with what status, and any error message
  • In the Branding tab, set the consistent look of all emails (company name, colors, font, footer text, social media links) — globally or differently per language
  • Use a template's translation matrix to maintain all of its text strings in multiple languages, including AI-assisted auto-translation

Step by step

  1. Edit a template: In the "Templates" tab, select a template from the list on the left (filterable by category: Shop, CRM, HR, ERP, Platform). The block editor opens.
  2. Design the content: Add new blocks via "Add Block" (e.g. Text, Image, Button, Product Table) and edit their properties on the right. Use "Variables" to insert placeholders like customer name or order number.
  3. Save: Click "Save" to store the subject and content.
  4. Set up branding: Switch to the "Branding" tab to set the company name, colors, font, and footer text — optionally different per language via the language tabs.
  5. Maintain translations: Open the translation matrix (linked from the template) to edit every text string per language. "Auto-translate" can suggest missing or outdated translations via AI — reviewable before you accept them.
  6. Check delivery: Check the "Log" tab to see whether an email was sent successfully or failed.

Frequently asked questions

How do I change the text of an order confirmation?
In the "Templates" tab, open the relevant template (category "Shop"), edit the blocks in the editor, and save.

Why does my email always say "SCS" instead of my company name?
Enter your company name in the "Branding" tab and save — without a custom value, the system default is used.

How do I find out why an email wasn't delivered?
Check the email's status in the "Log" tab. For "Failed" or "Bounced", an error or bounce detail is shown.

Can I maintain templates in multiple languages?
Yes. Via the translation matrix (linked from the template) you maintain the subject and all text strings per language, and can have missing translations suggested via AI.

What does the orange dot / "Draft" mean in the translation matrix?
It marks a translation that was automatically generated by AI but not yet manually reviewed and confirmed.

Why did the welcome email to my customers carry the platform's name?
That was a bug and it is fixed. The subject lines of the Customer registration and Password reset templates now use your store's name - via the {{shopName}} placeholder, which is listed under "Available variables" in both templates. The name comes from your store settings; if you entered a different company name in the "Branding" tab, that one wins. Existing templates were converted automatically - unless you had edited the subject yourself, in which case your wording is left untouched and you can add the placeholder by hand.

Why did English-speaking recipients receive German emails?
When a tenant was first provisioned, text strings were only created in German; every other language fell back to German. The Customer registration and Password reset templates now ship a maintained English version as well (not a draft, so no orange dot). For all other templates you continue to maintain English via the translation matrix - AI suggestions included.

Why is there a provider identification at the end of every email?
Because the law requires it. Commercial email has to identify its provider (§ 5 DDG, § 18 (2) MStV). Since August 2026, SCS therefore appends a short footer to every outgoing email: legal company name, postal address, managing director, register court and number, VAT identification number, and a contact route. The footer appears in both the HTML and the plain-text part of the message, follows the language of the email (German or English; if the language cannot be determined it appears in German), and comes from the same maintained source as the legal notice on our website. You do not have to set anything up, and you cannot switch it off - it covers SELLERLOGIC as the operator of the platform, not your own details. Your own footer text in the "Branding" tab is unaffected and still appears above it.

Do I have to add the footer to new templates myself?
No. The footer is appended at send time, not stored in the template. A template you create or duplicate carries it automatically - you will not see it in the editor or the preview, but it is there in the delivered email.
