Lifecycle Stages

Lifecycle stages describe which phase of the customer relationship a company is currently in (e.g. new customer, active customer, at risk, former customer). On this settings page you define which stages exist and the rules that automatically assign a company to a stage — based on the status of its subscriptions.

What can I do here?

  • Create, rename, reorder, and delete your own lifecycle stages
  • Define a rule for each stage describing when a company falls into it
  • Mark one stage as the "fallback" that applies when no other rule matches
  • Check the effect of a rule change in a live preview before saving
  • Manually recompute all companies instead of waiting for the next automatic run

Step by step

  1. Open Settings → CRM → Lifecycle to see the current list of stages.
  2. Select a stage from the list to edit its internal name, display label (German/English), color, and rule.
  3. Build the rule in the rule builder: choose a field (e.g. "Is active", "Is paid", "Is trial", "Amount per month"), an operator and a value; combine several conditions with "All of", "Any of", or "Not".
  4. Check the live preview to see how many companies would currently fall into this stage, then save the configuration.
  5. Click "Recompute now" if you need all companies re-classified immediately.

Fields explained

Label (DE) / Label (EN) Displayed stage name in the respective language Shown, among other places, in the lifecycle badge on companies
Color Visual marker for the stage Options include Brand, Success, Warning, Danger, Info, Neutral, Purple, Teal
Fallback Stage The stage that applies when no rule matches There must always be exactly one fallback stage

Rule Condition(s) a company must meet to be classified into this stage Based on subscription fields (see below)

Rule fields (subscription-based)

Is active, Is paid, Is trial, Auto-renew, Plan type, Amount per month, Duration (months), Ever paid — every rule refers to a company's subscription status.

Values & statuses

Lifecycle stages are not fixed; they're freely defined per tenant (up to 10 stages). Exactly one stage must always be marked as the fallback, which applies once no other rule matches. The fallback stage can't be deleted while it's the only fallback stage.

Frequently asked questions

What happens to companies when I delete a stage?
You must first choose a target stage that the affected companies get reassigned to — only then can the stage be deleted.

How often are the stages recomputed?
Automatically at regular intervals; you can also trigger an immediate recomputation via "Recompute now".

Why does the preview show only a sample instead of all companies?
For very large company counts, the live preview is limited to a sample to keep the calculation fast; the display shows how many out of how many companies were evaluated.
