Process archive

Your worklist - the bell in the top right - shows what is still waiting on you. As soon as a process is decided, it disappears from there. That does not mean it is gone: this page shows every process that has left your worklist.

Why this exists

The worklist is deliberately short. If every settled process stayed in it, the number on the bell would be meaningless after a few weeks - and nobody would look at it any more. The archive separates the two: the bell says "this is waiting on me", the archive says "this once sat with me".

What one row says

  • The subject of the process, as it appeared in your worklist
  • The process kind - for example "Absence request filed"
  • Raised - when the process appeared for you
  • Settled - when it left your list
  • Closed by - by which path (see below)
  • Open the process - the jump to the source, that is, the request itself

If the process sat with you because it was escalated - because the person actually responsible had not decided in time - the row says so as well.

"Closed by": the two paths

A process leaves your worklist on one of two paths, and the archive tells you which:

  • the decision on the process - the normal case: somebody decided, and the entry was closed immediately.
  • the periodic reconciliation - a background pass found that the request had long been decided while the entry was still open. Nothing changes for you. If this case becomes frequent, it is a signal for your administrators that notifications are being lost.
  • not recorded - for very old entries from before this feature.

Who decided

The archive does not name the person who decided. It records when and by which path the process left your list. Who decided is recorded on the process itself - use the "Open the process" link for that.

This is deliberate: a name here would be a guess rather than a record, and a guessed name in an archive is worse than none at all.

Searching and filtering

Two fields sit above the archive:

  • Search searches the subject of the entries.
  • Process kind narrows to a single kind.

Your selection is kept in the browser address bar. You can bookmark or share a view of the archive as a link - though the recipient will see their own archive with the same selection, not yours.

Whose archive you see

Only your own. There is no way to open a colleague's archive, not even through the address bar. This is enforced on the server, not merely hidden in the interface.

How long entries are kept

Indefinitely: nothing is deleted. That has been decided since 28/08/2026 and is no longer an oversight. How long data is kept in general will be settled for every area at once rather than for this archive separately - until then every entry stays readable, and there is no age limit and no delete path.
